Club fees paid by card or Direct Debit, straight into your account
KlubOS works with Stripe. Your club has its own Stripe account, parents pay into it, and KlubOS keeps track of who has paid for what. We never hold your money and we take no commission.
1
Connect your Stripe account
In the admin panel the club chooses pounds or euro and connects its own Stripe account. Stripe checks the club's details and bank account in its usual sign-up.
2
Fees go out to parents
KlubOS bills the fees you set: monthly, per session or one-off. Parents see what is due in the parent app and in a reminder email.
3
Parents pay from the link
Card, Bacs Direct Debit (UK) or SEPA Direct Debit (Ireland) on Stripe's secure checkout. Parents can pay several fees for more than one child in one go.
4
KlubOS books the payment
Card payments are booked straight away. Direct Debits show as processing until they clear, usually within three to five working days, and then close the fee on their own.
United Kingdom
Fees in pounds. Parents pay by card or Bacs Direct Debit.
Ireland
Fees in euro. Parents pay by card or SEPA Direct Debit.
Poland
Polish clubs keep Przelewy24 or Tpay in złoty, with no change.

Payment questions
Does KlubOS take a cut of parents' payments?
No. Payments are made on your club's own Stripe account and KlubOS adds no fee to them. We earn from the monthly or yearly plan only.
What does Stripe charge?
Stripe's standard fees, paid by the club. When we checked in October 2026, Stripe listed UK cards from 1.5% + 20p and Bacs Direct Debit at 1% (minimum 20p, capped at £4). Check stripe.com for the current rates in your country.
What if a Direct Debit fails?
If the bank rejects a Bacs or SEPA payment, KlubOS marks it as failed and the fee goes back on the list of amounts due, so the reminder goes out again.
How do refunds work?
The club issues a refund in its Stripe dashboard. A full refund is booked in KlubOS automatically; a partial refund is recorded in the payment log. Disputes raised with a bank are flagged on the payment.
Can parents still pay by bank transfer or cash?
Yes. Parents can report a bank transfer with a photo of the confirmation, and coaches can record cash taken at a session. Both appear in the same list as online payments.
Do fees collect automatically every month from a saved mandate?
Not yet. Today each fee is paid from its link, by card or by Direct Debit for that payment. Collecting regular fees automatically from a saved Bacs or SEPA mandate is planned and will be announced when it is ready.
What does the club need?
A Stripe account in the club's name (a UK account for pounds, an Irish or other eurozone account for euro), the identity check Stripe asks for, and the club's bank account.
KlubOS itself costs from £29 a month
€34 in Ireland. Every feature in every plan, the price depends on club size.
