Built with a real club — not in a boardroom

I watched a club drown in Excel and Messenger. So I built KlubOS.

Today it runs UKJ Yuko — a Polish judo club with 682 athletes. Fees bill themselves, results live in one place, and every parent has an app with their child's attendance. Grown on a club's daily reality, not a pitch deck.

Not a mockup — it runs in production. Numbers below are live.

Six places where things got lost. Now one login — and peace of mind.

— FEATURES

Everything that eats a coach's evenings. Now the system does it.

No feature was invented on a whiteboard — each one exists because something at a real club kept breaking without it.

Club website that runs itself

Your own domain, news, calendar, galleries and athlete profiles — results and medals publish themselves. No webmaster invoices.

Parent app (PWA)

Attendance with streaks, fees and online payment, schedules, medals, two-way chat with the club and push notifications — installed straight to the home screen.

Fees that collect themselves

Automatic monthly billing, online payments, smart dunning (email → SMS), bank statement import with payer memory, and e-invoices.

Attendance & churn radar

QR check-in at the door or one-tap roll call. Falling attendance triggers an early warning — before a family quietly leaves.

Results = marketing

Enter a result once: your website updates, a branded graphic is generated, and a Facebook post is one tap away. Parents share their kids — recruitment follows.

Competition readiness

One glance shows who can compete on match day: medicals, licence and insurance validated against the event date, with one-click parent reminders.

Camps, end to end

Registrations and instalments, statutory qualification cards, a live camp diary for parents, moderated greetings on the venue TV and a private live stream link.

Board-ready reporting

One-click PDF: growth, finances, collection rate, medals, attendance and demographics — ready for your board, your city hall or a grant application.

Child safety & GDPR built in

Consent management, per-club data isolation, EU hosting, safeguarding module and pickup permissions — as a standard, not an add-on.

Frequently asked

Is KlubOS available outside Poland?+

KlubOS is built for Polish sports clubs first (payments via Przelewy24/Stripe, Polish e-invoicing, Polish legal templates). If you run a club elsewhere and are interested, get in touch — the core platform is country-agnostic and we are planning the rollout roadmap.

What does it cost?+

Plans start at 149 PLN/month (~€35) for a small club, 299 PLN for a growing club and 499 PLN for a large multi-section organisation. Yearly billing gives you two months free. Your own domain, email and push notifications are included in every plan.

Who is behind KlubOS?+

A software engineer who watched a real judo club drown in spreadsheets. Every feature was battle-tested with UKJ Yuko — a Polish club with 682 athletes and 13,000+ recorded fights — before it shipped.

How do you handle children's data?+

EU data residency, strict per-club isolation (row-level security), parental consent controls for photos and public profiles, EXIF/GPS stripping on uploads, and a safeguarding module aligned with Polish child-protection law.

See it live on your club's data

A 15-minute call. Type your club's name and on the demo you'll see your athletes and fees inside KlubOS — not slides. You'll be talking to the founder, not a sales department.
